I just got back from a whirlwind trip to Cleveland, OH and honestly, the best part wasn't the food; it was seeing so many small business owners in action. Every conversation, however, eventually turned to the same thing: automation. We all know we should be using it to save time, but a common myth persists—that automation makes service impersonal. That is simply wrong.

Reality is, automation frees your team from tedious tasks, allowing them to focus on clients, giving more human and personalized service. You use technology to build better relationships, not replace them. That's why I'm so energized by the success of our AI & Data in the Holy City Workshop right here in Charleston last week! We brought together a room full of smart people to talk about how to start smart with AI, and the key is always to Automate the simple. Elevate the complex. Focus on client needs.

How to Decide What to Automate First: The RIPE Framework

If you're ready to dip your toes into automation, don't start with your most complicated task. Start with the ones that are RIPE for it. At the workshop, we introduced the RIPE framework, a simple way to figure out which tasks will give you the biggest bang for your buck by getting those repetitive chores off your team's plate.

To qualify for automation, a task should be:

Repetitive: You do the exact same thing over and over again (e.g., weekly reporting).
Inter-application: It involves moving data between two or more different systems (e.g., moving 400 form submissions into your CRM).
Predictability: You can write a clear "if/then" rule for it. The decision-making is predictable, not nuanced or constantly changing.
Efficient: Automating it will actually make the whole workflow faster and reduce human error.

The Foundational Lesson: This framework only works if your leadership has documented processes. You can’t automate what hasn't been written down or fully tested. If your team's documented process isn't what's actually happening on the ground, you need to validate that process first!

The biggest shifts we're seeing:

Financial Management: AI-powered software is now automating data entry, expense tracking, and bank reconciliations, reducing human error. Tools are also providing financial forecasting and cash flow analysis, giving small owners insights previously reserved for large corporations (Forbes).
Customer Service & Marketing: AI-powered chatbots now handle common inquiries 24/7, freeing human staff to focus on complex issues. AI also automates content creation, generating drafts for social media and emails, which is essential for maintaining a consistent presence without a large staff (Entrepreneur).

A Personal Reflection on Courage

In our work, the R in TR Edwards Consultancy stands for my father, 𝐃𝐚𝐯𝐢𝐝 𝐏𝐚𝐮𝐥 𝐑𝐢𝐜𝐡𝐚𝐫𝐝𝐬𝐨𝐧. He was a SGM in the 𝐀𝐫𝐦𝐲, a 𝐕𝐢𝐞𝐭𝐧𝐚𝐦 𝐯𝐞𝐭𝐞𝐫𝐚𝐧, and a man who risked everything for change.

On 𝐀𝐩𝐫𝐢𝐥 1, 1960, he was one of the 24 students who staged the first major sit-in at S.H. Kress right here in Charleston. They sat at a segregated lunch counter. When faced with a bomb threat and arrest, they held their ground. Despite their actions being called "𝐦𝐮𝐦𝐛𝐨-𝐣𝐮𝐦𝐛𝐨 𝐚𝐧𝐭𝐢𝐜𝐬" and an "𝐞𝐦𝐛𝐚𝐫𝐫𝐚𝐬𝐬𝐢𝐧𝐠 𝐬𝐡𝐨𝐰," they did what was right anyway. That history defines the future.

Today, leaders must face societal and technological change with the same courage. This means:

Confront the new reality: AI and rapid change require bold, honest leadership.
Lead with conviction: Do not shy away from the difficult, right decisions.
Reject the comfort of the past: The world changes. Your leadership must change with it.
